Pricing in this market is genuinely confusing, because three different models get quoted as if they were comparable. They are not. Which one is cheapest depends almost entirely on how many beds you run, and the crossover point is lower than most owners expect.
Indian PG and hostel software is sold in one of three ways. Flat monthly fee, where you pay the same whether you run 8 beds or 400. Per-bed, where you pay for every bed you own including the empty ones. Per-occupied-tenant, where you pay only for beds that currently have somebody in them. A handful of products are free, and monetise through listings, lead generation or payment margins instead.
Take a flat plan at ₹159 a month against per-occupied-tenant billing at ₹20. Below eight occupied tenants, per-tenant is cheaper. Above eight, flat wins, and the gap widens fast. At 100 occupied tenants per-tenant billing costs ₹2,000 a month against ₹159 — more than twelve times as much.
Two reasons. First, occupancy swings. A student hostel near a college can drop to 40% over the summer, and per-tenant billing drops with it while a flat fee does not. Second, small properties. If you run a 12-bed PG, ₹240 a month for software that includes a resident app is a different proposition from ₹159 for one that does not. The model is not better or worse; it suits a particular size and shape of business.
Setup time is the real cost, and it is paid in your evenings. Budget an hour per property to add floors, rooms and beds. Budget more if you try to back-fill old records, which you should not do. And budget for the month you run the software alongside your existing register to check the two agree — that month is not wasted, it is the only way to trust the numbers afterwards.
Most pricing pages answer none of these, and all five change what you actually pay.
Indian PG management software typically costs between nothing and ₹200 a month for a small property. Free options exist. Flat-rate plans run roughly ₹99 to ₹159 a month regardless of size. Per-occupied-tenant pricing, such as Hostel Mitra at ₹20 per tenant, costs less below about eight tenants and more above it.
