Settling a security deposit when a PG tenant leaves

Ask any PG owner what causes the worst arguments and it will not be rent. It will be the deposit, on the day somebody leaves, usually with a parent on speakerphone. These disputes are almost never really about money. They are about nobody having a written record both sides agree on.

The dispute starts months before move-out

By the time a resident is leaving, the facts are already set: what deposit they paid, what rent they paid each month, what they still owe. If those were recorded properly as they happened, settlement is arithmetic. If they live in a register in three different handwritings, or in a WhatsApp thread, settlement is a negotiation — and the person with the better memory wins.

Record the notice, not just the departure

When a resident gives notice, record it that day with the date they intend to leave. This matters for two reasons. It starts the notice period against a date both sides have seen, and it marks the bed as becoming available so you can show it to the next person before it sits empty.

Settle against the ledger, not against memory

At checkout the deposit is settled against what is outstanding. The tenant ledger already shows every due raised and every payment recorded, so the balance is not a matter of opinion. Deductions should be specific and stated — not "some damage" but what, and how much.

None of these are software features. They are habits that software makes easier to keep.

After they leave

The bed returns to your vacant pool so it shows as available. The departed resident’s ledger stays on record — which matters the day someone comes back six months later disputing what happened.
