Most owners who try this fail in week one, and they nearly all fail the same way. They open the app, decide to start properly, and begin typing in two years of past tenants and payments. Three evenings later they give up and go back to the register. Here is the approach that works instead.
This is the whole trick. Your old register stays exactly where it is, as a historical record you can look at any time. You are not digitising the past. You are starting a new, parallel record from this month forward. Past tenants who have already left do not go in. Past payments do not go in. Nothing before the first of this month goes in.
Add the property, then the floors, then the rooms, then the beds with the sharing type on each room. This is the slowest part and it is mostly typing. For a 50-bed property expect about an hour. Do it in one sitting if you can, because half-finished room setups are confusing to come back to.
Add the residents currently in the building and nobody else. Use a self check-in link so they fill in their own details and KYC from their own phones — it is faster and more accurate than you typing it. Put in their current rent and their move-in date. That is enough. You are not reconstructing their payment history.
This is the month that buys you confidence. When rent comes in, write it in the register as you always have, and also record it in the app. Yes, twice. It takes seconds and it means that if the two ever disagree you will notice immediately rather than three months later.
Run the collection report and put it next to your register. They should match. If they do not, find the one that is wrong — usually a payment recorded in one place and not the other — and understand why before you go further. Once they match, close the register and do not write in it again. That is the moment the switch actually happens.
The register was never really about the record. It was about you being the only person who could answer questions. Once residents can see their own dues and receipts, the 11pm WhatsApp messages stop, and that is the part owners notice first.
Start with one property and one month. Add the floors, rooms and beds, add only the residents currently staying, let the app generate this month’s dues, then record every payment in the app as it comes in while keeping the register in parallel. Compare both at month end, then stop writing in the register.
