Move-in is the most paper-heavy hour in a hostel. Photocopies, a register entry, a form filled in twice because the first one had a mistake, and a folder that lives in a drawer until somebody needs it. Digital check-in changes who does that work, which is the part that matters.
You share a QR code or a link. The incoming resident opens it on their own phone and fills in their own details. This is not a small difference. When you type someone else’s name, phone number and address off a photocopy, you make mistakes. When they type their own, they do not — and if they do, it is their mistake to correct.
The resident photographs their Aadhaar and OCR reads the printed details off it into the form. It saves typing and it reduces transcription errors. It is not an identity verification service and it does not tell you the document is genuine. The owner still reviews what came through and approves it before the tenant record is created. Treat OCR as fast data entry, not as proof.
Once you approve, the resident’s record holds the details they submitted alongside everything that accumulates afterwards.
You are collecting government ID from people who live in your building, which carries real obligations. Collect only what you need, do not share it, and be able to say what you hold and why if a resident asks. If you are advertising how you protect this data, make sure the claim matches what your systems actually do — an overstated security claim is worse than no claim at all.
